ARTICLE I. NAME AND AFFILIATION

Section 1. Name

This organization shall be known as the Young Scientist Program, hereinafter referred to as YSP.

Section 2. Affiliation

YSP is formally associated with the Office of Diversity Programs within the Division of Biological and Biomedical Sciences (DBBS) at Washington University in St. Louis School of Medicine, sharing 501c3 status with the university.

ARTICLE II. MISSION AND PURPOSE

Section 1. Mission Statement

The Young Scientist Program aims to attract students to scientific careers and increase the participation of underrepresented groups in science by bringing resources and scientists directly to teachers and students in the St. Louis area. YSP strives to achieve this mission through diversity-focused paid summer research internships, hands-on scientific demonstrations in local classrooms, field trips to Washington University in St. Louis School of Medicine, dissemination of teaching kits containing pre-planned lessons, close mentoring, and loaning or donating laboratory equipment to classrooms in need.

Section 2. Purpose Statement

The Young Scientist Program exists to promote science literacy among students in grades K-12, encourage the pursuit of careers in STEM by introducing participants to areas of scientific study, provide reliable personal and academic mentorship to students to help them in their pursuit of STEM careers, and develop participants’ laboratory and critical thinking skills necessary for research areas.

ARTICLE III. MEMBERSHIP

Section 1. YSP Volunteer Staff (General Body)

All YSP volunteers must be practicing scientists – with a minimum of a bachelor’s degree or equivalent – affiliated with Washington University in St. Louis. Membership in this organization is open to all irrespective of race, ethnicity, creed, color, national origin, nationality, ancestry, age, gender, sexual orientation, gender identity or expression, socioeconomic status, disability, marital status, veteran status, or citizenship status.

Section 2. YSP Branches

YSP has three main branches of operation:

  • Continuing Mentoring – for mentorship throughout a student’s high school career at Soldan International Studies High School and Collegiate School of Medicine and Bioscience
  • Teaching Teams – to introduce K-12 students to scientific study through interactive demonstrations brought into the classroom, held on the WUSTL campus, or at community events
  • Summer Focus – providing rising high school seniors with a funded summer research opportunity in biomedical science at Washington University Medical and Danforth campuses

Section 3. Executive Board

The YSP Executive Board (E-board) serves as the board of directors for YSP. The individuals holding the following positions are members of the E-board: YSP Director (Executive Director), YSP Assistant Director, Finance Director and Assistant Director, Information Technology Director, Materials & Teaching Kits Director, Research & Data Management Director, Continuing Mentoring Director and Assistant Director, Summer Focus Director and Assistant Director, and Teaching Teams Director and Assistant Director.

Section 4. Leadership Team

The YSP Leadership Team are coordinators with high impact projects, whose roles are not elected, but rather selected by members of the E-board. The Leadership Team is not required to attend E-board meetings but must relay any information to their representative on the E-board for discussion during Executive Board meetings (see Art.VIII Sect.1). Individuals holding the following positions are members of the YSP Leadership Team: Continuing Mentoring Curriculum Coordinator, Continuing Mentoring Cohort Liaisons, Summer Focus Writing Course Coordinators, Summer Focus Next Up Coordinators, and Teaching Team Heads.

Section 5. Consultants

Consultants are former Executive Board or Leadership Team members who remain invested in YSP organization and planning. They exist to advise present leadership on future goals and program directions using the institutional knowledge and experience gained from their tenure in YSP. Consultants are contacted at the discretion of the E-board. Consultants may attend E-board meetings, but do not vote in elections or decisions.

ARTICLE IV. COMPLIANCE CLAUSE

All members agree to abide by all University policies, in addition to all federal, state, and local laws. Members are expected to maintain professionalism throughout their involvement with any YSP-associated activity. All volunteers working closely with K-12 students must also receive regular fingerprinting and background checks in compliance with the Washington University Human Resources Youth Protection Policy (more information: hr.wustl.edu/items/policies-regarding-minors/).

ARTICLE V. NON-DISCRIMINATION POLICY

YSP participants and volunteers shall not discriminate on the basis of race, ethnicity, creed, color, national origin, nationality, ancestry, age, gender, sexual orientation, gender identity or expression, socioeconomic status, disability, marital status, veteran status, or citizenship status.

ARTICLE VI. EXECUTIVE BOARD

Section 1. Roles and Responsibilities

Subsection A. The Executive Board (E-board) shall serve as the board of directors for YSP. It shall provide oversight, long-term vision, and guidance. The E-board performs the following main roles for volunteer staff:

  • Facilitate planning – set annual and long-term goals
  • Oversee finances – approve YSP budgets, audit finances, assist with financial development, and fundraise.
  • Help program directors establish expectations and goals for each of the YSP branches
  • Coordinate leadership transitions – coordinate elections, maintain records, and pass on necessary records/information
  • Coordinate relations with governing bodies such as DBBS and other Washington University divisions/departments

Subsection B. E-board members must work with YSP volunteer staff to accomplish YSP goals and maintain accurate duties and responsibilities for the smooth transition of directorship. E-board members must attend and participate in monthly E-board meetings and events. E-board meetings may be attended in person or via teleconference. In the event that an E-board member must miss an E-board meeting, a notification must be sent to the YSP Executive Director & Assistant Director 24 hours before the meeting. If an E-board member misses 3 meetings without notification (i.e. 1/4 of the meetings in the year) this is grounds for an immediate removal hearing. If an E-board member misses 5 meetings (even if notice has been given), this is also grounds for an immediate removal hearing. E-board members participate in voting and selection of new directors or elections (if held).

Section 2. Positions

Subsection A. Position Titles and Descriptions

YSP Director (Executive Director) oversees current and new YSP initiatives by managing Executive Board members and moderating E-board meetings to ensure long-term success of YSP. Position roles:

  • Serve as the overall leader of YSP volunteer staff
  • Guide volunteer staff in the development of the organization’s long-term vision and goals. Provide specific strategies and plans to accomplish goals.
  • Serve as moderator for E-board, Community Advisory Board (CAB), and Town Hall meetings
  • Oversee the financial development of volunteer staff. This includes working with the Finance Director & Assistant Director to fund the program (through grants, sponsorships, etc), and working with the DBBS Finance Group to budget and keep financial records.
  • Serve as primary YSP liaison to the St. Louis community, Washington University in St. Louis, and DBBS. Serve as the YSP representative at the DBBS diversity steering committee meetings.
  • Determine the needs of public schools in the greater St. Louis area (with particular focus on St. Louis Public Schools) and work with the volunteer staff to develop plans to meet those needs
  • Keep track of YSP volunteers in a document to be passed on to the new Executive Director at the end of the term
  • Attend and participate in E-board meetings and events. Participate in E-board elections as necessary.
  • Cast tie-breaking vote when necessary for volunteer or E-board decisions

YSP Assistant Director serves to support the Executive Director’s needs, organize and record E-board business, and transition into the Executive Director role. Position roles:

  • Proactively assist Executive Director in all duties
  • Transition to Executive Director at the end of Assistant Director term
  • Take minutes at E-board, Town Hall, and CAB meetings. Make all minutes available to YSP volunteers.
  • Coordinate elections for the selection of new Directors (if needed)
  • Attend and participate in E-board meetings and events. Participate in E-board elections as necessary.

Finance Director and Assistant Director ensure that YSP maintains adequate funding and up to date finance transactions. Position roles:

  • Maintain contact with funding organizations/sponsors and the DBBS Finance Group
  • Keep current funding proposals updated with the most recent evaluation data
  • Identify new sources of funding for program growth and development
  • Process volunteer staff reimbursements in an organized and efficient manner. Reimbursements must be processed within one week of the reimbursement request. (see IX Sect.3)
  • Attend and participate in E-board meetings and events. Participate in voting and elections within the E-board when necessary.
  • Provide a budget report at each E-board meeting (see IX Sect.2)
  • The Assistant Director transitions to Director position at the end of the first term.

Information Technology Director manages YSP electronic resources, tools, and distributes the Newsletter. Position roles:

  • Maintain up-to-date YSP website
  • Maintain a list of active YSP volunteers and contacts on the website
  • Release a monthly YSP Newsletter to YSP volunteers, WUSTL members, educators, and interested St. Louis community members
  • Maintain Qualtrics survey records and assist in the generation of any new Qualtrics tools
  • Maintain a YSP social media presence. Instruct each YSP branch to contribute to posts on Twitter and Facebook.
  • Attend and participate in E-board meetings and events. Participate in voting and elections within the E-board when necessary.

Materials & Teaching Kits Director maintains an active inventory of all YSP materials in the stockroom and coordinates the development and distribution of Teaching Kits. Position roles:

  • Work with IT Director to maintain a useful and updated materials list available to all volunteers online
  • Order and maintain a stock of consumables in the YSP stockroom
  • Maintain inventory of equipment (microscopes, PCR machines, 3-D printer, computers/tablets)
  • Organize Kits for Teaching Team Demos, Continuing Mentoring Demos, and requested Teaching Kits
  • Assist Summer Focus Boot Camp Coordinator with ordering necessary Boot Camp materials
  • Work with YSP branches to generate new Teaching Kits and protocols
  • Ensure all Teaching Kits support current Missouri Learning Standards Science Expectations from the Missouri Department of Elementary & Secondary Education (reference: https://dese.mo.gov/college-career-readiness/curriculum/science)
  • Work with Research & Data Management Director to evaluate and improve Teaching Kits
  • Attend and participate in E-board meetings and events. Participate in voting and elections within the E-board when necessary.

Research & Data Management Director manages and maintains data on the impact of YSP programming, student information, and is the main volunteer in charge of YSP’s Institutional Review Board (IRB) approval. Position roles:

  • Prepare reports about YSP impact gathered from feedback surveys. Send reports to YSP Director & Assistant Director in preparation for CAB meetings
  • Maintain YSP IRB approval for collecting K-12 student information
  • Manage safekeeping of sensitive and private documents
  • Act as a point person for the future publication of collected data
  • Generate a list of national and state educational standards and identify YSP resources that fit these standards
  • Establish a system for the continued assessment and improvement of our evaluation systems. Discuss evaluation twice a year at E-board meetings, one meeting must be a Program Review Meeting (see VI Sect. 4).
  • Develop retrospective surveys
  • Help in the creation and collection of surveys about YSP Staff Volunteers
  • Aid Finance Director & Assistant Director in grant/scholarship applications
  • Attend and participate in E-board meetings and events. Participate in voting and elections within the E-board when necessary.

Continuing Mentoring (CM) Director and Assistant Director coordinate and provide oversight for the Continuing Mentoring Program at partner schools (Collegiate School of Medicine & Bioscience and Soldan International Studies High School). Position roles:

  • Organize recruitment and orientation of new mentors. Ensure all mentors have up-to-date background checks and training.
  • Organize recruitment interviews of new mentees and maintain contact with educators and administrators at partner schools
  • Conduct quarterly meetings with cohort liaisons to obtain updates and feedback
  • Oversee appropriate use of Continuing Mentoring budget for each cohort
  • Ensure curriculum modules are up to date with assistance from the Continuing Mentoring Curriculum Coordinator
  • Develop and track metrics to evaluate and improve the program for volunteers and mentees
  • Recruit and train Cohort Liaisons, mentors, and Curriculum Coordinator
  • The Assistant Director transitions to Director position at the end of the first term
  • Attend and participate in E-board meetings and events. Participate in voting and elections within the E-board when necessary.

Summer Focus (SF) Director manages the recruitment of high-school students and orchestrates program logistics, and secures funding for Summer Focus. Position roles:

  • Recruitment of eligible St. Louis area applicants through the following means: visiting schools, contacting SLPS and St. Louis area teachers and faculty
  • Oversee the SF leadership team: SF Assistant Director, Writing Course, Next-Up, and Boot Camp Coordinators
  • Update and distribute the application by the end of November
  • Lead interviews and selection of participating students
  • Work with the Finance Director & Assistant Director to secure funds for student stipends, symposium, and incidental costs of the program
  • Reserve materials and spaces for the duration of the program (application review to the final symposium)
  • Update SF alumni information and Guide to Being Summer Focus Director
  • Keep track of SF volunteers in a document to be passed on to the Director each summer
  • Appoint and train the Assistant Director who will be become Director the following year
  • Attend and participate in E-board meetings and events. Participate in voting and elections within the E-board when necessary.

Summer Focus Assistant Director acquires and manages the mentors and tutors for the Summer Focus Program and assists the Director in their duties to organize the program. Position roles:

  • Recruit mentors and tutors for the Summer Focus Program
  • Oversee the training of mentors and tutors for Summer Focus mentorship
  • Coordinate mentor, tutor, and coordinator background checks
  • Pair mentors and tutors with Summer Focus students
  • Assist and train with Director to assume the position the following term
  • Attend and participate in E-board meetings and events. Participate in voting and elections within the E-board when necessary.

Teaching Teams (TT) Director and Assistant Director act as liaisons between local teachers, teaching team heads, and other volunteers to ensure events are well-organized, occur on time, and are of valuable educational quality. Position roles:

  • Receive, process, and approve/deny TT field trip and travel requests
  • Follow up with teaching teams to ensure event attendance
  • Add teaching team events onto the calendar
  • Keep track of the number of teaching team events and the number of attendees
  • Help teaching team heads acquire background checks for new volunteers
  • Work with teaching team heads to recruit new volunteers and create new demonstrations
  • Establish new teaching teams
  • Publicize teaching teams to schools
  • Schedule quarterly meetings with teaching team heads to evaluate material and address improvements
  • Ensure teaching teams are distributing evaluation surveys
  • Assist in training new volunteers
  • The Assistant Director transitions to Director position at the end of the first term.
  • Attend and participate in E-board meetings and events. Participate in voting and elections within the E-board when necessary.

Subsection B. Terms of Office

Standard terms shall commence on January 1 and end on December 31 of the corresponding calendar year. Summer Focus Director & Assistant Director constitute the only exceptions with terms ending September 30 and beginning October 1 to allow for more efficient planning. Following two terms, Directors may be elected to another position within the E-board. Any deviations from these Terms of Office should be approved by the E-board through a majority vote. For the positions that have both a Director and Assistant Director, the first term will be as Assistant Director and the second term will be as Director. As Director, the main goal is to train the Assistant Director to take over in the following year.

Subsection C. Appointing New Directors

Once an acting Director’s term ends, the acting Assistant Director shall become the new Director. Acting Directors are responsible for finding their future replacement. If more than one candidate exists, then the new Director (or Assistant Director) shall be elected via a majority vote by the E-Board.

Section 4. Program Review

Once a year the E-board will review the progress, reach, and effectiveness of YSP as a whole. Surveys and evaluations collected by the Research & Data Management Director will be referenced in the review as well as program-wide budgets and spending. Program Review will include discussions of program goals and objectives for the next calendar year and the completion of goals set from the prior year. Program goals will be specifically designed to aid in the SLPS science community needs. The E-board members from each YSP branch will also comment on branch-specific goals. The whole E-board will discuss strategies and knowledgeable contacts to facilitate the achievement of goals and objectives.

Section 5. Removal of Directors and Volunteers

Subsection A. Submission of a Removal Request

Any request to remove an E-Board member shall first be submitted to the YSP Executive Director and the YSP Assistant Director as an anonymous written complaint. If a volunteer has been found to violate our Compliance Clause (Art.IV) and/or Non-Discrimination Policy (Art.V) they will be removed without any additional hearing.

Subsection B. Removal Hearing

If an E-Board member has been found to be acting in a manner unbecoming of the group and/or this document, the remaining members may review the case to determine whether a hearing regarding the E-board member in question’s removal should be held.

  • If the remaining officers unanimously decide against a hearing, then the complaint becomes void.

If at least one remaining officer votes to hold a hearing, then the hearing will be held. In this event, the E-board member in question is notified and given an opportunity to speak on his or her behalf. Though the complainant will remain anonymous, the written complaint will be detailed to the member in question. After the hearing, the remaining E-board members will hold a majority vote regarding the removal of the officer in question. If the majority vote favors removal of the member in question, then said individual will be removed from office, and the E-Board will immediately replace said member. The Executive Director shall break the tie when necessary unless he or she is being considered for removal.

ARTICLE VII. LEADERSHIP TEAM

Section 1. Positions and Roles

Continuing Mentoring Cohort Liaisons manage their cohort, correspond with the school contacts, and report on their cohort at quarterly CM liaison meetings. Liaisons are also mentors within their cohort and are committed for the full four-year mentoring period, although replacements must be found should the liaison take on an additional leadership position. Position roles:

  • Schedule and lead cohort planning meetings
  • Schedule mentor-mentee meetings
  • Organize field trips
  • Attend quarterly CM liaison meetings and report on cohort updates

Continuing Mentoring Curriculum Coordinators develop and improve modules for use in the mentor meetings, and provide assistance to mentors who may need help planning lessons. Curriculum coordinators serve in 1 year terms (calendar year), but may choose to continue to additional terms. Position roles:

  • Manage curriculum materials (including physical materials in stock room related to CM as well as module-specific lesson plans, PowerPoints, and handouts within the online shared resources drive) in coordination with the Materials and Teaching Kits Director
  • Develop new lessons and improve existing lessons based on mentor/mentee feedback in cooperation with the Research & Data Management Director
  • Research and help implement new standardized testing preparation curriculum
  • Attend quarterly CM liaisons meetings

Summer Focus Writing Course Coordinators design and teach the weekly Summer Focus science writing and communication course. This role is a two-year obligation: the standing coordinator trains the successor, a process that turns over October 1st. Position roles:

  • Design and submit a syllabus for the course to the SF Director and Assistant Director before Summer Focus Student Expectation meeting
  • Keep a record of final student papers and projects
  • Train students for culminating symposium presentation

Summer Focus Boot Camp Coordinators run the two-day immersive laboratory preparation course for Summer Focus students at the beginning of the program. This role is a one-year obligation; however, a coordinator may serve more than one term. Position roles:

  • Acquire materials, spaces, and volunteers for boot camp. Work with the Materials and Teaching Kits Director to purchase necessary materials.
  • Update the Boot Camp Laboratory Manual
  • Teach during the Boot Camp and/or find other volunteers to teach

Summer Focus Next Up Coordinators lead the weekly college preparatory course for Summer Focus. This role is a one year obligation; however, a coordinator may serve more than one term. Position roles:

  • Design and submit a syllabus for the course to the SF Director and Assistant Director before Summer Focus Student Expectation meeting
  • Invite speakers to discuss aspects of the college application: personal statement, resume, transcript
  • Organize panels for college admissions, financial aid, and undergraduate expectations

Teaching Team Heads work with the Teaching Team Director & Assistant Director to develop and perform high quality demonstrations and establish a reliable and professional team of volunteers. Position roles:

  • Establish a secondary contact and a volunteer contact list
  • Respond within one week of teaching team request
  • Define TT curriculum supports current Missouri Learning Standards Science Expectations from the Missouri Department of Elementary & Secondary Education
  • Keep a list of volunteers attending each event
  • Attend quarterly meetings with TT Director & Assistant Director
  • Inform new team members on how to perform demonstrations
  • Ensure all volunteers have up-to-date background checks and training
  • Ensure all volunteers have transportation to events, arrive on time, and act appropriately
  • Ask event coordinators to complete feedback survey evaluations after event completion

Section 2. Appointing New Leadership Team Members

It is the obligation of the present Leadership Team Member to recruit a successor upon completion of their term. If no replacement is selected in a timely manner, the duty to recruit a new Leadership Team Member falls to the E-board members most closely aligned with the position. Each new Leadership Team Member must be approved by the corresponding E-board member.

Section 3. Removal of Leadership Team Members (LTM)

If a volunteer has been found to violate our Compliance Clause (Art.IV) and/or Non-Discrimination Policy (Art.V) they will be removed without any additional hearing. If a Leadership Team Member has been found to be acting in a manner unbecoming of the group and/or this document, the branch-associated LTMs and E-board members may review the case to determine whether a hearing regarding the Leadership Team Member in question’s removal should be held.

  • If the remaining LTM and E-board members unanimously decide against a hearing, then the complaint becomes void.

If at least one remaining LTM or E-board member votes to hold a hearing, then the hearing will be held. In this event, the LTM in question is notified and given an opportunity to speak on his or her behalf. ARTICLE VIII. MEETINGS

Section 1. Executive Board (E-board)

The Executive Board will have at least one meeting per month. Meetings are open for all volunteers to attend. The YSP Faculty Director should also be in attendance for advisement in decisions and program directions. A quorum for meetings will be at least 6 of the 14 E-board members. All E-board decisions require a majority vote to pass. The YSP Director shall break the tie when necessary. A finance and budget update will be presented at every E-board meeting. Any Amendments to the YSP Constitution will be voted on during E-board meetings (see Art.XII).

Section 2. Town Hall

Any YSP volunteer may attend Town Hall meetings. Town Hall meetings occur a minimum of three times per year. The Executive Director determines dates, times, location, and agenda of meetings. The Executive Director and Assistant Director facilitate meetings. Any member of the YSP volunteer staff may request to have an item included in a Town Hall meeting. Minutes will be archived and distributed to all YSP volunteer staff. Town Hall meetings will take place on the Washington University School of Medicine Campus and, if there is enough interest, meetings will also be held on the Danforth Campus. To facilitate conversation between two campuses teleconference communication should be used.

Section 3. Community Advisory Board Meetings (CAB)

CAB Meetings include the YSP Executive Board and St. Louis community members and organizations that have a vested interest in YSP. These members include, but are not limited to, St. Louis Public School educators, local YSP donors/investors, Washington University staff (e.g. PIs, department chairs), representatives from local scientific companies, representatives from the St. Louis Science Center, etc. These meetings are to be held once per year. The purpose of CAB meetings is to inform members of the St. Louis community about YSP progress throughout the year and receive feedback on how to better serve the community. The Executive Board will provide CAB members with data, surveys, and updates collected from each YSP branch to indicate program progress and impact.

ARTICLE IX. FINANCES

Section 1. Dues and Compensation

There shall be no dues for membership within YSP, nor shall there be any compensation for YSP Volunteer Staff (including the Executive Board).

Section 2. Accounts and Budget Reports

YSP Finance accounts are accessed through the Washington University School of Medicine Division of Biological and Biomedical Sciences. DBBS Finance Administration will release quarterly budget reports detailing which YSP volunteer staff member and which Branch requested funds. The YSP Finance Director & Assistant Director must keep track of reimbursements and funds allocated and present a budget report at the monthly E-board meeting (see Art.VIII Sect.1).

Section 3. Reimbursements

Subsection A. Reimbursements are processed through the DBBS Finance Group (Director of Finance and Administration and Coordinators for Graduate Student Support). The Finance Director & Assistant Director ensure the DBBS Finance Group has all necessary documents and information to process reimbursements. The Finance Director & Assistant Director select which YSP account to charge.

Subsection B. Reimbursements for purchases

  • YSP Volunteer Staff must include the following to process reimbursements for purchases: Event (or business purpose), date & time, location, number of attendees (if under 15 attendees, must include names), itemized receipt (original) and/or bank statement, requesting volunteer name, requesting volunteer student/employee ID number, requesting volunteer division/program, and requesting volunteer email
  • Reimbursement information must be submitted within one week of the event and reimbursements must be processed by the Finance Director & Assistant Director within one week of receiving the reimbursement request.

Subsection C. Reimbursements for background checks

  • All YSP Volunteer Staff must have up to date background checks and fingerprinting before volunteering
  • Background checks for CM and TT volunteers are initially paid for out of pocket. After the volunteer has participated in 3 events, a request for reimbursement can be submitted and processed by the Finance Director & Assistant Director. This restriction is set in place to help ensure YSP volunteer retention. Reimbursement request submission must include: date of background check, location, receipt, requesting volunteer name, requesting volunteer student/employee ID number, requesting volunteer division/program, requesting volunteer email, and email of branch-specific Director or Leadership Team member to confirm the 3 volunteer events. If paying out of pocket for the background check is a financial burden for a volunteer, an alternative option may be decided by the Finance and CM/TT Directors.
  • Background checks for SF volunteers are not paid out of pocket, but are instead direct billed to DBBS from University Fingerprinting locations (e.g. Campus Card Services Office).

Section 4. New Donations and Sponsors

New donations to YSP will be made through the Washington University in St. Louis Office of Medical Alumni & Development (A&D) and should indicate if donations are intended for a specific YSP Branch or if they will be used as general funds. Contacts made with new donors or sponsoring organizations should be initiated through A&D.

ARTICLE X. FACULTY ADVISOR

The Executive Board nominates one Washington University Faculty or Staff member to serve as the Advisor; if an Advisor is already selected, no vote is required. Faculty Advisors do not have a term limit. The status of YSP’s faculty advisor will be discussed at an Executive Board meeting each January to determine if a new advisor should be selected. In the case that an Advisor wants to step down from the position, or the YSP E-board feels the current Advisor is no longer helpful and invested, a 2/3 E-board vote can decide a new Advisor. YSP Faculty Advisors are selected based on their investment in outreach, in science education, in the St. Louis community, and their demonstrated support for graduate students and their career development. Advisors must also show an understanding and appreciation of YSP’s mission and a basic background of YSP structure and branches.

The Advisor shall work closely with the E-board to assist in decision making and approve funding. The advisor shall step in as needed to ensure that YSP continues a reputation of success and excellence. The advisor will also aid in communications between divisions/departments. The Faculty Advisor does not have a vote in E-board decisions and elections.

ARTICLE XI. DIVISION ADMINISTRATIVE SUPPORT

YSP receives advisement from the DBBS Director of Diversity, Equity & Inclusion and Student & Alumni Affairs. This Director helps to facilitate contact and discussion between DBBS and YSP. YSP finances are coordinated in part by the DBBS Director of Finance and Administration, who work with the YSP Finance Director & Assistant Director to maintain YSP financial reports and documents. The DBBS Execute Director may also serve as an additional contact between YSP, DBBS, and the A&D Board.

ARTICLE XII. AMENDMENTS

This document may be amended by a majority vote of all Executive Board positions, provided that the amendment or motion to abolish is presented at a Town Hall meeting prior to the amendment meeting. The quorum for all document amendments shall be 75% of the Executive Board. Any voting member of the Executive Board can submit an amendment to this document to the YSP Executive Director. The Executive Board may ratify amendments when approved by two-thirds of its members.
