WU IT may suggest an alternative to your request based on University purchasing standards as well as product availability from preferred suppliers. For example, the University has selected Dell and Apple as our standard computer provider.
Hardware
- A variety of standard, pre-approved hardware is available for purchase through the WashU IT Service Now Hardware Catalog. Users can easily select and order equipment online through Service Now without the inconvenience of preapproval from Olin IT.
- Submit requests for non-standard items via the Custom Client Hardware and Software form in the Service Now catalog for recommendations and to talk to a technology expert about your needs.
- Purchases must be made through an approved WashU process (e.g., WashU preferred or authorized suppliers). This helps ensure Olin can take advantage of volume discounts, manage inventory, insurance, and support, and minimize sales tax.
- Technology purchases outside of the approved processes above and below require advance approval from WashU IT and Olin IT and will only be considered once all WU IT options have been exhausted. Olin will not approve reimbursement requests for hardware that is available through WU IT.
- Requests for reimbursement will be denied if advance approval for purchases outside of ServiceNow are not secured.
- Procard purchases without advance approval will need to be reimbursed to the school.
Software
- All software orders, including subscriptions and SaaS models (e.g., Grammarly, Calendly, Trello, Freshworks), must originate in the ServiceNow portal.
- All faculty and staff have access to free and discounted software through WUIT. Visit the Service Now Software Catalog for a list of available software.
- Submit requests for non-standard items via the Custom Client Hardware and Software form in the Service Now catalog for recommendations and to talk to a technology expert about your needs.
- If software is available through WU IT, it must be procured through WU IT (regardless of cost). Olin will not approve reimbursement requests for software that is available through WU IT.
- If the software cannot be managed by WUIT but is deemed “safe” and compatible with WU managed equipment, WUIT approval must be submitted with the reimbursement request.
- Requests for reimbursement will be denied if advance approval for purchases outside of ServiceNow are not secured.
- Procard purchases without advance approval will need to be reimbursed to the school.
